The Central European University (CEU) invites applications for a Coordinator position in the Center for Eastern and Mediterranean Studies (CEMS) at the Vienna Campus. This is a part-time (30 hours/week) position for a fixed term of one year (maternity leave replacement) with the possibility of further extension.
The job allows some home working, subject to COVID regulations and/or CEU guidelines (after COVID).

CEMS aims to create an academic environment for the promotion of a greater understanding of the eastern Mediterranean as a key area of world history, and thus shed new light on the significant challenges this region faces at the beginning of the twenty-first century. The center perceives the Mediterranean as an ideal framework for the analysis of interconnections across geographical, chronological, imperial, religious and disciplinary boundaries, focusing on east-west interaction and exchanges, the movement of people, objects and ideas to and from the eastern Mediterranean, as well as imperial (dis)continuities – Roman, Byzantine, Islamic Caliphate, Ottoman – from the ancient to the modern period.

Duties and responsibilities:

  • Advising students on course enrollment and program rules
  • Helping with student course enrollment, administering records, credit and grade entry, data maintenance
  • Supporting students in adhering to university and program policy
  • Communicating and coordinating with students
  • Managing financial issues of the students, including student grants
  • Writing grant applications for research and event funding
  • Administrative support of finance in close cooperation with the Budget and Finance Office
  • Data collection and analysis, preparation of budget expenditures
  • Record keeping of holidays and time sheets
  • Preparing meeting minutes, policy documents, etc.
  • Supporting internal and external reporting
  • Office management, maintaining inventory of office supplies and equipment
  • Support to the Director of the Center, contact with central university administration
  • Providing high level administrative support to faculty, students and guests
  • Managing the Center’s social media accounts and advertising

Skills and competencies:

  • • Bachelor’s degree (at least)
  • At least 1-2 years of working experience in a job with similar types of tasks and communication in an international and/or academic (higher education) environment
  • Ability to work independently
  • Ability to work under pressure
  • Ability to balance sensitivity towards student needs with ensuring student adherence to university and program regulations
  • Proficiency in spoken and written English is a must. Experience in writing summaries, minutes, policies is an advantage.
  • Proficiency in spoken and written German
  • Proficiency in using Office 365 and MS products
  • Good financial management skills and familiarity with SAP
  • Discretion when dealing with sensitive/confidential information
  • Multicultural orientation and open-mindedness
  • Good organizational and interpersonal skills
  • Interest in creative problem-solving
  • Ability to handle multiple tasks and to prioritize
  • Previous work experience at CEU is an advantage


We offer a gross annual salary of 32,400 EUR as well as a dynamic and international academic environment.
