The Central European University (CEU) invites applications for an Academic Coordinator position in the Department of Environmental Sciences and Policy at the Vienna Campus. This position is a full-time maternity leave replacement with a fixed-term contract until May 2024 with the possibility of extension.

Duties and responsibilities:

  • Support academic operations of the department, serving as an interface between faculty, graduate students, internal units, and external partners
  • Advise students on admissions, course enrollment, and program rules, and help ensure that students adhere to university and program policy
  • Help with administering records, credit and grade entry, data maintenance, ensuring that course data is accurate and represented on all relevant platforms of CEU (course hub, E-learning), handling of course evaluations
  • Support curriculum planning and management, scheduling, and room booking, and provide administrative and technical help to the core and visiting faculty
  • Manage departmental calendars
  • Assist in special tasks with admissions, theses, exams, and graduation of students, field trips, and the organization of events
  • Communication and coordination with students and faculty
  • Prepare meeting minutes, policy documents, Program Handbooks, etc.
  • General email and mail handling, onboarding of students, student-facing presence during office hours
  • Support the Master's Programs Director, contact with central university administration

Skills and competencies:

  • Bachelor’s degree (minimum)
  • At least 2 years of experience in a customer facing position ideally in academia or at an international company
  • Strong ability to work independently, with skill in managing own workflow. Ability to work under pressure
  • Ability to balance sensitivity towards student needs with ensuring student adherence to university and program regulations
  • Proficiency in spoken and written English is a must. Experience in writing summaries, and minutes is an advantage.
  • Proficiency in spoken and written German
  • Proficiency in using Office 365 and MS products, as well as Zoom and videoconferencing software
  • Discretion when dealing with sensitive/confidential information
  • Multicultural orientation and open-mindedness
  • Good organizational skills, including the ability to shift between hybrid, in-person, and fully remote environments
  • Strong interpersonal skills, requiring the ability to understand and respond to the competing needs of diverse stakeholders
  • Interest in creative problem-solving
  • Ability to handle multiple tasks and prioritize
  • Previous work experience at CEU is an advantage
  • Previous higher education sector experience is an advantage

Compensation
We offer a competitive salary starting from a gross of 40,500 EUR/year as well as a dynamic and international academic environment. This position is a full-time maternity leave replacement with a fixed-term contract until May 2024 with the possibility of extension.
