Central European University (CEU) is a research-intensive private university specializing in the social sciences and humanities. The Office of the President and Rector of CEU is the first line of support for the President and Rector. The team is collecting and handling information that are needed for the highest level of decision making, they prepare summaries and minutes of the Rector’s meetings and support her in managing her calendar and organizing her activities.

The Office of the President and Rector of CEU invites applications for a part-time (30hrs/week) Administrative Assistant position.

Duties and responsibilities:

  • Managing the Rector’s podcast series: scheduling, liaising with guests & parties involved in production, arranging transcripts, assisting with editing, publicity & dissemination
  • Assist with the organization of events hosted by Rectorate; interfacing with a variety of different visitors, including high-profile guests, in a professional manner
  • Managing the content and the structure of the Rectorate’s general and SharePoint website
  • Handling payments and financial records of the Rectorate; collecting and processing data; maintaining databases; storing and tracking documents
  • Monitoring and ordering supplies, stationery and other requested merchandise

Qualifications and skills:

  • Bachelor’s degree or higher, in any subject
  • Excellent written and verbal communication skills in German (native) and English; ability to write clearly in both languages and help with editing when necessary
  • Strong administrative and organizational skills that reflect the ability to prioritize multiple tasks seamlessly with excellent attention to detail
  • The ideal candidate must have strong attention to detail, be able to work under the pressure of deadlines and handle a wide variety of activities
  • Proven ability to handle confidential information with discretion


  • 3 years relevant experience in an Administrative Assistant or similar position, preferably in academia, or in a non-profit or public sector organization
  • Ideally, experience, or at least interest in learning various facets of audio podcast production
  • Ideally, experience in communicating and liaising with public figures and/or renowned scholars
  • Friendly, communicative, diplomatic, welcoming, organized, hands-on personality
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat

The annual gross salary for this 30 hours/week job starts at 28,000 EUR/year. The actual final salary might be higher depending on the level of expertise of the selected candidate. The initial contract is for one year with the possibility of renewal.
