The Human Resources Office (HRO) at Central European University invites applications for an Austrian Immigration Specialist position. The successful candidate will have a key role in ensuring competent assistance and detailed attention is given to all administrative aspects of the relocation procedures of CEU PU employees and new-hires of both EU and third-country nations. The candidate will also be responsible for making sure that third-country nationals receive the adequate information and administrative support needed to obtain and re-new their visa and work permits in Austria.

The Immigration Specialist will be responsible for ensuring that all relocation, visa and work permit extension processes are initiated in a timely manner to ensure smooth completion of the process (end-to-end process management). The Immigration Specialist will provide advice and hands-on support based on their solid knowledge and understanding of all Austrian visa and work permit requirements and processes. The candidate must have expertise in immigration and work permit processes relating to visiting faculty members, freelancer contractors, and students. Besides supporting employment related immigration processes, the Immigration Specialist will have an advisory role in students’ resident permit applications and will be required to advise and support the Student Office in immigration related matters. The jobholder will work independently under the high-level management of the Deputy HR Director, while also working in close cooperation with HR team members and the team members of the Office of the Dean of Students.

Duties and responsibilities:

  • Assisting in D-type visa procedures for future employees who are third country nationals.
  • Assisting UK citizens with necessary paperworks.
  • Preparing documents for the registration card and residence permit applications for employees and for their family members.
  • Obtaining work permits for employees who are third country nationals and freelancers.
  • Obtaining work permits for students who are third-country nationals.
  • Following up on pending requests with the relevant authorities (MA35, AMS).
  • Arranging appointments, maintaining contact with applicants.
  • Consulting employees and their family members on their residency status in Austria.
  • Consulting HR team members and other university colleagues on the regulations for hiring non-EU citizens.
  • Consulting team members of the office of the Dean of Students on student resident permit processes.
  • Managing problematic student visa/resident permit applications.
  • Keeping track of ongoing individual permit application processes and daily updates with each step.
  • Keeping track of existing permits’ expiration dates.
  • Initiating resident permit renewals in a timely manner.
  • Regular reporting to authorities regarding foreign employees.
  • Liaising with authorities via e-mail, phone and in person. Helping employees with the permit process through escorting in person the employee to the relevant authorities.
  • Ensuring the HRO processes and info materials comply with the Austrian immigration regulation.
  • Liaise with internal legal experts and external service providers related to immigration cases.
  • Maintaining an up to date immigration database and monitoring the ongoing processes.

Qualifications:

  • University degree.
  • 5+ years of experience.
  • Experience with dealing and working with Austrian ministries, preferably with the Ministry of the Interior or immigration authorities (e.g. AMS, MA35)
  • Solid knowledge of immigration law, and preferably labor law.
  • Excellent (native) level German.
  • Excellent communication skills (verbal and written) in English.
  • Experience of working in a multicultural environment.
  • Full computer literacy.
  • Precision, attention to detail, priority-setting skills, multi-tasking skills.

Compensation
We offer a competitive salary that is commensurate with experience as well as a dynamic and international academic environment. The initial contract is for one year with the possibility of renewal.
