The Academic Cooperation and Research Support Office (ACRO) invites applications for a coordinator position to provide day-to-day administrative, functional, and organizational support to the team running the CIVICA project at CEU. The coordinator will be located at ACRO and will report to the CEU CIVICA manager. The initial contract is for one year with the possibility of renewal. The current end of CIVICA project is 30 September, 2026.

Your key responsibilities:

  • Assisting the CIVICA team in the running of CIVICA activities at CEU, which includes: liaising internally with colleagues responsible for work packages at CEU and follow up on achieving the expected outcomes; liaising with internal CIVICA stakeholders (students, faculty, staff): launching calls for proposals, answering emails, organizing dissemination events; gathering information for reports and memos; organizing CIVICA events and activities;
  • Assisting the CIVICA team in liaising with the CIVICA partners and the CIVICA Secretariat: taking minutes in meetings and following up on related decisions and outcomes; following up on communication with the partners.
  • Acting as back-office person for the enrollment of students in CIVICA activities (courses, workshops, etc.) or certain platforms designed specifically for the alliance (my.CIVICA, the ESR course catalogue, etc.)
  • Carrying out the budgetary follow up of the project: administering the CIVICA budget(s); overseeing spending, invoicing, and the management of services; issuing budget reports;
  • Organizing and maintaining program-related documentation and correspondence, records of relevant meetings, and communications with partners;

Your qualifications and skills:

  • University degree (Bachelor’s or higher);
  • Excellent written and oral communication skills in English;
  • At least three years of experience in university administration, ideally including financial (budget) management tasks as well;
  • Proficiency in Microsoft Office tools, management of databases and use of social media;
  • Experience in working with budgets and SAP (MM, FM, BW);
  • Good understanding of principles and policies on privacy and data protection, GDPR compliance;
  • Ability to administer long-term assignments;
  • Ability to work independently and as part of a team;
  • Strong interpersonal and communication skills and ability to establish and maintain effective working relations with people of different national and cultural backgrounds; gender and cultural awareness and sensitivity.

What CEU offers
We offer a competitive salary starting from gross 42,000 EUR/year. A higher salary is possible if warranted by the candidate’s working experience. The initial contract is for one year with the possibility of renewal. The current end of CIVICA project is 30 September, 2026.
