Financial Coordinator

The Central European University Press (CEU Press) invites applications for a Financial Coordinator position. The initial contract is for one year, with the possibility of renewal.

Reflecting on the intellectual strengths and values of its parent institution, Central European University, the CEU Press has been publishing books since 1993 by authors from around the world on a wide range of subjects in the Humanities and Social Sciences, including political philosophy and practices of open society, history, Jewish studies, economics, medieval studies, literature, legal studies, nationalism, human rights, political science, international relations, gender studies, media studies, and art history. We publish authors that bring a regional perspective to some of the major issues of the world, contributing to global debates on pressing topics such as democracy and climate change.

Key Responsibilities:

  • Support the Executive Chair and Director with business planning, including preparation of annual budgets and monitoring of performance against budget
  • Foresee budget issues and report these to the Executive Chair and Director in advance
  • Prepare monthly and year-end accounts; Prepare reports for Advisory Board
  • Ensure timely month-end closure; Preparation of monthly balance sheet reconciliations and ensuring reports are accurate and reconciled
  • Develop and update financial systems and procedures with Executive Chair and Director and Budget and Finance Office (BFO) as needed
  • Liaise with BFO on financial issues as needed
  • Prepare accounts and where applicable sales commissions for all vendors (print and digital)
  • Prepare and email outgoing invoices; Handle invoices with the BFO
  • Manage payments (via SAP or other forms); Create purchase requests, handle stock as needed and customers orders
  • Manage inventory in SAP, reconcile stock differences
  • Create new entries for books in SAP
  • Prepare title level sales reports, bestsellers reports, and other reports as needed
  • Monitor the performance of individual titles against forecast
  • Develop analytical reports on any aspect of CEU Press’ publishing to aid decision making
  • Manage the production of annual author royalty statements and payment of royalties due
  • Arrange payment to peer reviewers
  • Review staff expense claims and payment for freelancers: Review credit card reconciliation; Handle petty cash
  • Prepare timesheets for HRO and register holidays

Person Specification:

  • Excellent financial and analytical skills
  • High numerical accuracy skills and attention to detail
  • Self-motivated with a desire to improve ways of working
  • Excellent organizational skills to manage a busy schedule
  • Understanding of publishing desirable and an awareness of the change in revenue streams
  • Ability to work collegially with a team

Skill & Experience:

  • BA degree in accounting, finance, economics or related field
  • Related 3-year work experience
  • Excellent English language proficiency with other languages of the region desirable
  • Experience of databases and digital record keeping
  • Experience working with SAP software or equivalent
  • Good IT skills, proficient with MS Office Excel
  • Good communication skills
