Junior Department Coordinator

The Central European University (CEU) invites applications for a Junior Coordinator position in the Department of Medieval Studies at the Vienna Campus. This is a full-time position for a fixed term of one year (maternity leave replacement) with the possibility of further extension.

Duties and responsibilities:

  • Providing high level administrative support to students, faculty, and guests
  • Helping with student course enrollment, administering records, credit and grade entry, data maintenance
  • Advising students on course enrollment and program rules, ensuring that students adhere to university and program policy
  • Communicating and coordinating with students
  • Preparing meeting minutes, etc.
  • Supporting internal and external reporting
  • Coordinating and organizing departmental events, and lectures, including academic field trips
  • Posting on departmental social media platforms
  • Office management, maintaining inventory of office supplies and equipment
  • Contact with central university administration

Skills and competencies:

  • Bachelor’s degree (at least)
  • Ability to work independently, and under pressure
  • Ability to balance sensitivity towards student needs with ensuring student adherence to university and program regulations
  • Proficiency in spoken and written English is a must. Experience in writing summaries, minutes, policies is an advantage.
  • Interest in creative problem-solving
  • Multicultural orientation and open-mindedness
  • Ability to handle multiple tasks and to prioritize
  • Proficiency in using Office 365 and MS products
  • Proficiency in spoken and written German is an advantage
  • Good financial management skills and familiarity with SAP is an advantage
  • Discretion when dealing with sensitive/confidential information
  • Previous administrative, organizational or client support experience ideally in higher education is an advantage


We offer a gross annual salary of 40,000 EUR commensurate with experience as well as a dynamic and international academic environment.
