Personal Assistant to the Director of the Vienna Campus

The CEU Vienna Campus at Central European University (CEU) invites applications for a Personal Assistant to the Director of the Vienna Campus position. The initial contract is for one year with the possibility of renewal; the probation period is one month.

The successful candidate will be responsible for the organization of the director's activities, will manage his/her calendar and take care of administrative duties. They will also act as a liaison between the Director's office, and the office of the Rector in Vienna.

Duties and responsibilities:

  • Coordination and organization of appointments, meetings, travels of the Director of the Vienna Campus
  • Organization of the filing system and database of addresses of the Vienna Campus's central administration
  • Paperwork (writing letters, invitations, minutes of meetings)
  • Organizing and preparing the meeting- and networking-activities of the Rector, Provost, and Director in Vienna
  • Cooperating closely with the Rector's and the Provost's Personal Assistant and the Chief of Staff in Budapest with an overview on diaries and assisting in the preparation of events

Qualifications and skills:

  • Experience in senior positions (3-5 years experience)
  • Excellent communication skills in English and German
  • Relevant experience in assisting the higher management of Austrian and International companies
  • Understanding and experience with the operation of Austrian universities would be an advantage.
  • Friendly, communicative, diplomatic, welcoming, organized, hands-on
  • Strong organizational skills, and detail oriented
  • Proactive approach to problem solving, not afraid to improvise
