Program and Administrative Assistant, OSUN ExEd Hub

Central European University (CEU) and the Open Society University Network (OSUN) seek applications from qualified candidates for the position of the Program and Administrative Assistant at the OSUN Executive Education Hub (ExEd Hub) at CEU. The initial contract is for two years with the possibility of renewal.


OSUN is a global university network, anchored by Central European University and Bard College, that integrates learning and the advancement of knowledge across geographic and demographic boundaries, promotes civic engagement to foster open societies, and expands underserved communities’ access to higher education.


The OSUN ExEd Hub is a new initiative designed to provide innovative executive and professional education for a global audience of students and practitioners. It will pursue the open society mission of OSUN by focusing on areas such as governance, policy and management. It will pay special attention to facilitating access to high-quality executive and professional education for individuals who are usually excluded from such opportunities, such as marginalized minorities, refugees, or members of other economically and socially disadvantaged groups. The OSUN ExEd Hub will design and offer degree and non-degree programs for practitioners in areas of relevance for OSUN and its local partners in which there is a shortage of supply. These programs will serve to build and strengthen professionally advanced and democratic operations in public and private sector, including governmental and inter-governmental institutions and civil society organizations. Following the launch in 2020-21 academic year, the ExEd Hub will focus on building a comprehensive yet flexible framework for program design and implementation, modes of delivery, partnerships, credentials, recruiting and evaluation and putting in place pilot and permanent training modules and programs in areas of higher education leadership and management, public and population health and global health policies and management and other professional fields identified as priority by OSUN.



The successful candidate will provide support to the Managers of the ExEd Hub in the day-to-day running of the new Executive Education programs unit at CEU, including the planning and administration of schedules, events, expenses and related communication, administrative support of recruitment, selection and scholarship support to the program participants, and supporting the work of the ExEd Hub’s Advisory Committee. The position requires strong written and verbal communication, administrative and organizational skills and the ability to maintain a balance among multiple priorities. The ideal candidate must have strong attention to detail, be able to work under the pressure of deadlines and handle a wide variety of activities with discretion.


Duties and responsibilities

Programmatic support:

  • Administration, communication and organization of records of recruitment and selection of the program participants
  • Administration of ExEd Hub scholarship awards, including support in organizing selection, issuing grants and maintaining records and databases 
  • Support to the ExEd Hub’s Advisory Committee, including in the logistical organization of meetings, preparing and maintaining documentation and keeping minutes and other records of the Committee meetings
  • Coordination of drafting and executing contracts, assignments, consultancies and other forms of expert engagement for the ExEd Hub
  • Support to organization of ExEd Hub events at CEU
  • Advising the ExEd Hub Program Managers on the ExEd Hub profile on CEU’s and OSUN’s websites and updating content, maintaining social media presence as delegated by the ExEd Hub Program Managers

Administrative support:

  • Regular coordination with a variety of administrative units and staff at CEU on matters related to the ExEd Hub administration
  • Collecting and processing data, maintaining databases, storing and tracking documents and correspondence, organizing and maintaining records of meetings
  • Liaison with the OSUN Secretariat at CEU on the administration and reporting on the OSUN funding, administrative coordination with OSUN partner institutions involved in the ExEd Hub activities
  • Arranging ExEd Hub staff’s travel itineraries and agendas; compiling documents for travel-related meetings
  • Support with visa, travel and accommodation arrangements and other travel and residence practicalities for faculty and students of the residential components of the ExEd Hub programs
  • Collecting and maintaining information on recurrent and regular costs and expenses in ExEd Hub projects and contributing to budgeting and spending review, managing expense reimbursements of the staff, faculty and participants of the ExEd Hub programs
  • Managing the production of ExEd Hub publicity materials
  • Managing relevant email accounts and calendars
  • Monitoring and ordering supplies, stationery, business cards and other merchandise



  • Bachelor’s degree or higher
  • Excellent written and verbal communication skills in English, proficiency in German is strongly desired
  • Strong interpersonal skills and the ability to build relationships with key stakeholders, including professional staff and external partners
  • Ability to establish and maintain effective working relations with people of different national and cultural backgrounds; gender and cultural awareness and sensitivity
  • Friendly, communicative, diplomatic, welcoming, organized, hands-on
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Proactive approach to problem solving
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
  • Experience supporting senior executives, preferably in a non-profit, or educational or private sector organization (experience in an international workplace environment preferred)
  • Experience and interest in internal and external communications
  • Proficiency in Microsoft Office tools, management of databases and social media
