Central European University invites applications for the position of a Project Assistant of the Threatened Scholars Integration Initiative (TSI) – a program managed by CEU on behalf of the Open Society University Network (OSUN), of which CEU is a co-founder and core member. The position is hosted by CEU’s Yehuda Elkana Center for Higher Education (YECHE). OSUN Threatened Scholars Integration Initiative aims to bring scholars at risk of persecution, war, or other life- and work-threatening circumstances to OSUN institutions and programs as beneficiaries, academic collaborators, and intellectual leaders in teaching, research, public engagement, and advocacy. OSUN supports residential placements and virtual affiliations with both specific institutions and OSUN cross-institutional projects.


Overall: The successful candidate will provide support to the Senior Program Manager of the TSI in the day-to-day running of the project, including the planning and administration of schedules, events, related communication and expenses; administrative support of recruitment, selection and relocation of scholars; and liaison with the project partners on administrative and logistical matters of the project. The position will primarily focus on the administration of the project at CEU, however it will also involve coordination and collaboration, as assigned by the Senior Program Manager, to the multi-campus TSI team. The position requires strong written and verbal communication, administrative and organizational skills and the ability to maintain a balance among multiple priorities. The ideal candidate must have strong attention to detail, be able to work under the pressure of deadlines and handle a wide variety of activities and personal information with discretion.

Specific: Providing administrative and logistical support to the CEU-based Senior Program Manager and a multi-campus TSI Team; TSI Fellows based at, relocating or seconded to CEU; and CEU units hosting or preparing to host TSI Fellows, through:

  • Organizing and maintaining materials and records of the program; collecting and processing data, maintaining databases, storing and tracking documents and correspondence, organization and administration of TSI’s confidential records, including applicants’ and fellows’ files, records of relevant meetings and communications with partners;  
  • Regular coordination with relevant units and staff at CEU on matters related to the TSI administration;
  • Technical assistance in the production and dissemination of calls and receipt and processing of applications and nominations; collection of references, organizing documentation and maintaining records of vetting and selection of TSI Fellowships;
  • Administration of TSI Fellowship placements at CEU, including administrative support in selection, vetting and placement, issuing grants and contracts;
  • Providing full logistical support to Fellows and liaising with relevant CEU units on all matters related to their relocation (including visa, travel, immigration formalities, accommodations and on-boarding);
  • Serving as a primary point of contact to TSI Fellows hosted at CEU and relevant CEU units related to the Fellows’ organizational needs;
  • Support the organization of TSI activities and events at CEU, including logistical arrangements for participants, on-site organization including materials, facilities and services, communications liaison;
  • Arranging TSI staff travel itineraries and agendas; compiling documents for travel-related meetings;
  • Basic financial administration of TSI related activities, including receipt and invoice filing and reimbursement; TSI expenditure tracking and providing data necessary for TSI budgeting and expense reporting in contact with CEU accounting;
  • Contributing data and other relevant information for TSI program development and funding proposals and reports as assigned by the TSI management team;
  • Liaison with the OSUN Secretariat at CEU on the administration and reporting on the OSUN funding, administrative coordination with OSUN partner institutions involved in the TSI activities;
  • Managing relevant email accounts and calendars;
  • Monitoring and ordering supplies, stationery, business cards and other merchandise.


  • Bachelor’s degree or higher;
  • Excellent written and verbal communication skills in English, proficiency in German is strongly preferred;
  • Strong interpersonal skills and ability to establish and maintain effective working relations with people of different national and cultural backgrounds; gender and cultural awareness and sensitivity;
  • Friendly, communicative, diplomatic, welcoming, organized, hands-on;
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail;
  • Proactive approach to problem solving, demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment;
  • Experience supporting senior executives, preferably in a non-profit, or educational or private sector organization (experience in an international workplace environment preferred);
  • Experience and interest in internal and external communications;
  • Proficiency in Microsoft Office tools, management of databases and use of social media.

We offer a competitive compensation package commensurate with experience, as well as a dynamic and international academic environment. The initial contract is for one year with the possibility of renewal based on availability of external funding.
