The Student Records Office (SRO) at Central European University (CEU) invites applications for a full-time Student Records Assistant position. The initial contract is for one year with the possibility of renewal.

The SRO provides a wide array of services related to the academic aspect of studying at CEU. The office is responsible for overseeing student enrollment, course registration and the preparation of diplomas, as well as keeping students' academic records. It also monitors the submission of grades and administers the conferring of various academic achievement awards. Furthermore, it coordinates the Apostille procedure, provides assistance regarding course registration procedures, verifies degrees and manages the functions of the university's information systems related to academic matters.

Duties and responsibilities:
The Student Records Assistant will provide administrative assistance in the following areas:

  • Daily front office help of students in various matters
  • Manages general inquiries regarding academic records and other SRO matters via email and in person
  • Handles and prints/sends various certificate requests from students throughout the whole academic year
  • Completes data entry tasks (administering credit transfers, entering specific data of previous academic records, course data entries) and prepares reports
  • Manages the university's information systems (UIS and SITS)
  • Provides assistance in the diploma preparation process
  • Assists in large events coordination (Opening Ceremony, Graduation, etc.)
  • Files and archives student documents
  • Liaises with department coordinators and colleagues from other units of CEU in Vienna and in Budapest

Qualifications and skills:

  • Completed higher education
  • Ability to work individually and in a team
  • Precision, attention to detail and service-oriented attitude
  • Ability to work under pressure and to keep deadlines
  • Strong time-management and prioritization skills
  • Experience in a similar position and in working with databases, especially in an academic environment
  • Experience of working in multicultural environment and/or at a university
  • Pro-active personality with very good problem solving and communication skills (verbal and written) in English
  • German language skills is an advantage
  • High level of computer literacy (MS Office, InDesign),
  • Knowledge of university structures and processes is an advantage
