Student Well-Being Assistant

The CEU Vienna Campus at Central European University (CEU) invites applications for a Student Well-Being Assistant position. The initial contract is for one year with the possibility of renewal; the probation period is one month.
The successful candidate will provide assistance in the Student Centre.

Duties and responsibilities:

  • Assisting students in the arrival and leaving procedures (orientation, registration, gaining legal residence and insured status, collecting from and returning official documents to issuing authorities)
  • Maintaining up-to-date student files in the University database, archiving documents
  • Assisting students in finding the best options for transportation in Vienna
  • Keeping contact with and sending regular reports to the Budapest campus on work in progress
  • Drafting, editing and proofreading texts in English and German
  • Day-to-day administrative assistance (especially CEU Health Insurance Plans, including budget reporting and the address registration process) to students during office hours and via email communication
  • Keeping contact with the relevant Austrian authorities
  • Regularly updating the unit's website and Facebook page
  • Supporting students with disability-related questions
  • Supporting students with children and families (e.g. suggestions for accommodation, daycare, potential national benefits, etc.)
  • Ordering and managing office supply


  • College/university degree
  • Excellent English and German
  • Knowledge of Austrian regulations regarding visas, residency permits, registration cards, etc.
  • Knowledge of Austrian state health and social security system
  • Experience working in a university setting is an advantage
  • Full computer literacy, confident use and good working knowledge of Office programs is required, as well as some experience with databases
  • Knowledge of social media platforms and web content editing
  • Precision, attention to detail, priority-setting, multi-tasking
  • Ability to work under pressure with tight deadlines
  • Ability to handle different reporting channels
  • Strong communication skills (both verbal and written)
  • Friendly, attentive and pro-active, customer-oriented attitude
  • Experience working in multicultural environment and customer service experience
