Recruitment Privacy Notice

(jointly as "CEU" or the "University") we place great emphasis on the protection of your personal information and compliance with the EU General Data Protection Regulation (GDPR)*. This Privacy Notice relates to the collection, use, transfer, and retention of your personal data during the recruitment process of CEU.

1. Who are we and what we do

The CEU'S Human Resources Office (HRO) works in partnership with management and CEU's academic and administrative units to attract and retain quality staff for the University.
Both faculty and staff positions are filled by an open search.

As part of the recruitment process, HRO collects personal data relating to job applicants. The majority of the information we collect is obtained directly from you. We may also collect personal information from other external third parties, such as referrees named in your application.

4. What is the purpose for processing your data?

Your data is only used by CEU for recruitment purposes and for the given position you applied for. More specifically, we use the data in this process to contact, identify, evaluate, interview candidates and manage the recruitment process.

5. What is our legal basis for processing your data?

We take our responsibilities under data protection rules seriously and ensure the personal information we obtain is held, used and processed in accordance with the applicable data privacy rules. CEU processes the information outlined in this Privacy Notice in pursuit of our legitimate interest.

Although CEU relies on legitimate interest as the legal basis for processing where this is not overridden by the interests and rights or freedoms of the data subjects concerned, it recognizes that it is not the only lawful ground for processing data. As such, where appropriate, CEU will sometimes process your data on an alternative legal basis – for example, when you give your explicit consent to us to do so (e.g. for using your personal data for an other open position availbale at CEU).

6. What kind of personal data do we collect?

The personal data we collect, store and process, the majority of which is given to us by you, but some of which we may obtain from other sources (referres), may include:
• name
• contact details (e-mail, phone number, address)
• place and date of birth
• citizenship
• photo (submitted as part of your CV)
• current and previous employment details
• academic/educational background
• languages spoken
• cover letter
• details of referees (make sure you have your referee's consent)
• notes from face to face interviews

Additional information for academic positions:

• list of publication
• sample publication
• research and teaching plan
• sample course syllabus
• teaching evaluations
• reference letters
• information on your visit (invitation to an interview, travel and accommodation)

Please consult the advertisement about the personal information you need to submit. In case you send us more data than requested, it will also be processed according to the rules defined in this notice.

7. Who receives your information?

CEU offices work closely together to provide a coordinated approach. Any transmission of data between CEU units is managed through agreed processes which comply with relevant data protection legislation. HRO will share your application only with the person(s) responsible for the selection procedure in the Department/Unit and the selection committee members.

8. How long will your information be held?

We'll delete the unsuccessful candidates' data and shred the hard copies once the selection process has been closed.

The short-listed candidates' data will be stored for 3 months after the selection process is closed and will be deleted/shredded afterwards.

We'll keep the personal data of a referee for as long as the candidate's data for whom he/she was a referee is kept.

9. What are your rights?

You have a right:

• to access your personal information,
• to object to the processing of your personal information,
• to rectify,
• to erase and
• to restrict processing your personal information.

10. Security of your information

We are committed to holding your data securely and treating it with sensitivity. All data are held securely and in accordance with the relevant data privacy laws and our internal policies. 11. Future changes

If our information policies or practices change at some time in the future, we will post the changes on our website among our Official Documents (https://documents.ceu.edu/).
